Office Administrator

JOB SUMMARY:

 

DPRA is seeking an Office Administrator for our growing consulting team. You will be responsible for ensuring the efficiency of our business, as well as assisting with setting and monitoring strategic goals for the future. The ideal candidate will be well-versed in all matters business. You are a competent leader able to provide guidance that enhances performance in a manner which incorporates DPRA Canada’s vision and culture.  You will provide support and manage a busy office of 15-20 professionals through a wide range of responsibilities that include administration of office matters (office equipment, staffing, travel, event logistics), vendor/subcontractor management, document management, financial management, budget tracking, overseeing business processes, recommending improvements and, special projects.  You may be involved in our project work on a case-by-case basis. The goal will be to ensure the profitability of DPRA Canada’s activities and to assist with driving sustainability and long-term success.

 

QUALIFICATIONS:

 

  • A minimum of 7-10 years of experience working as an Office Administrator in a fast-paced environment
  • Relevant educational credentials or certificates
  • Strong interpersonal skills and effective communication both written and oral
  • Must possess strong computer skills and knowledge, especially in Microsoft Office (Outlook, Word and Excel)
  • Proven record of dealing with confidential and sensitive situations in a professional and respective manner
  • Experience with budget tracking, financial projections, document and contract management
  • Experience in a consulting company preferred

 

PERFORMANCE EXPECTATIONS:

 

  • Carrying out monthly financial management and projections, contract management/changes, and budget tracking
  • Assisting with implementation of strategic plan
  • Reporting to CEO and Executive about financial condition of the company through periodical reviews
  • Involved in recruiting, orienting and onboarding staff
  • Calendar management, including meetings and conference-call coordination
  • Accomplishing company goals by exploring opportunities to add value and taking charge of new requests
  • Work independently and be able to work under pressure at times, handling a wide variety of activities and tasks
  • Detail-oriented work, strong on follow-through in a fast paced and challenging environment
  • Highly organized, responsive and proactive
